How to Evaluate AI Agent / Automation Platforms Before You Commit
A five-pillar pre-commit checklist for AI agent and automation platforms: run one end-to-end workflow, check tool/MCP auth, retries and human approval, stacked pricing, and self-host vs SaaS data risk—before you lock in.

Most teams do not need a second “AI agent platform” logo on the slide—they need a pre-commit test that proves an automation can run, fail safely, and be observed. Support chatbots are a special case (see How to Evaluate AI Customer Support Chatbots Before You Buy). This guide covers general agent / automation platforms: visual workflows, multi-agent frameworks, bot builders, and CRM-native agents.
Concrete examples use n8n, CrewAI, Coze, and Agentforce. Use them as archetypes, not as a forced bake-off of every SKU.
Bottom line: Pass five pillars—same end-to-end job, tool/auth surface, failure + human approval, meter stacking, hosting/data boundary—before annual. Prefer n8n when you want execution-priced workflows you can self-host. Prefer CrewAI when engineers want agent crews with governance path to Enterprise. Prefer Coze when bot/channel distribution matters. Prefer Agentforce when Salesforce is already the system of record. Do not buy three platforms for one RSS→sheet pipeline.
Findings: public docs + limited hands-on framing (verification 2026-11-03, Asia/Shanghai). No invented success rates. Re-check pricing and security whitepapers before commit.
Who this is for
- Ops/automation leads replacing brittle Zapier-style zaps with AI steps
- Platform engineers evaluating multi-agent frameworks vs iPaaS
- RevOps / service leaders already on Salesforce considering Agentforce meters
Out of scope: training custom foundation models from scratch.
The five evaluation pillars
| # | Pillar | Pass signal |
|---|---|---|
| 1 | Same job: monitor source → summarize → write sheet/notify | Completes with logs you can replay |
| 2 | Tools / MCP / API connectors + auth | Secrets stored sanely; least-privilege tokens |
| 3 | Retries, human approval, observability | Failed runs visible; approval gates for risky tools |
| 4 | Pricing stack | Executions + model fees + seats do not surprise Finance |
| 5 | SaaS vs self-host / data egress | Written residency and training answers |
Pillar 1 — Same end-to-end job
Protocol: Freeze one job:
Every weekday 09:00 Asia/Shanghai, pull the latest items from a public RSS (or form webhook), summarize in ≤80 words, append a row to a spreadsheet, and post a Slack/email notification. If the feed is empty, exit quietly without noisy alerts.
Run it for five business days on the trial. Pass: four of five days correct with inspectable runs. Fail: silent drops or duplicate rows you cannot explain.
| Archetype | Fit for this job | Note |
|---|---|---|
| n8n | Native schedules, HTTP, sheets, Slack nodes; AI/agent nodes + MCP on Cloud plans | Count production executions, not steps |
| CrewAI | Strong when the “summarize” step is a multi-agent crew you will deepen | Overkill if you only need cron + HTTP |
| Coze | Strong when the interface is a chat agent in Telegram/Discord/etc. | Channel credit rules differ—read subscription docs |
| Agentforce | Strong when the row lives in Salesforce and the notify is CRM-native | Poor fit as a generic RSS toy unless CRM is the destination |
Pillar 2 — Tools, MCP, API auth
Protocol: List every external system (RSS, Sheets, Slack, CRM). For each: OAuth vs API key, rotation, and whether the platform supports MCP or equivalent tool gateway.
- n8n: Broad node library; MCP Server Trigger / Client called out on Cloud pricing feature tables; credential store encrypted.
- CrewAI: Tools/triggers + Enterprise connectors on paid; export as MCP server listed on pricing comparison.
- Coze: Plugin/channel ecosystem; confirm which channels burn premium credits (docs: some channels excluded from premium deduction).
- Agentforce: Actions inside Salesforce + Voice multipliers; Digital Wallet for consumption visibility.
Fail the buy if production secrets must sit in a shared Google Doc.
Pillar 3 — Failure, human approval, observability
Protocol: Force a failure (revoke the sheet token) and a risky action (post to a real Slack channel) behind an approval gate.
| Need | What “good” looks like |
|---|---|
| Retries | Automatic retry with backoff; dead-letter/error workflow |
| Human approval | Explicit approve for tool calls that send external messages |
| Logs | Searchable execution history with retention that matches audit needs |
| Eval | Optional offline eval for agent quality (n8n lists metric-based evaluations on Pro+) |
n8n Cloud advertises human approval for tool calls and execution retention windows by plan. CrewAI lists human-in-the-loop and tracing on its comparison. Agentforce leans on Salesforce governance + Digital Wallet alerts. Coze needs channel-level testing—do not assume studio chat ≡ production Discord behavior.
Pillar 4 — Pricing meters (snapshot 2026-11-03, Asia/Shanghai)
Map your monthly runs × model tokens × seats. Meters stack.
n8n (n8n.io/pricing)
| Plan | Public sticker | Shape |
|---|---|---|
| Starter (Cloud) | €20/mo billed annually | Unlimited users/workflows; execution-based; agents/MCP/AI nodes; 1,600 Assistant credits/mo |
| Pro (Cloud) | €50/mo billed annually | More concurrency/projects; up to 9,600 Assistant credits; insights |
| Business | €667/mo billed annually (self-hosted positioning on page) | SSO/LDAP, Git, queue mode, environments |
| Enterprise | Contact | Hosted or self-hosted; SLAs |
| Community | Free self-host (GitHub) | Feature-gated vs paid |
Only production executions count (docs)—manual/test nuances exist; read FAQ before forecasting.
CrewAI (crewai.com/pricing)
| Plan | Public sticker | Shape |
|---|---|---|
| Basic | Free | Studio, GitHub, 50 workflow executions/mo |
| Enterprise | Custom | SSO, RBAC, VPC/own infra, onboarding |
Open-source framework usage can be self-run separately—Enterprise is the governed production path. Confirm execution definitions on a sales call before forecasting Fortune-scale volume.
Coze (docs.coze.com/guides/subscription)
| Plan | Credits/day (docs) | Notes |
|---|---|---|
| Free | 10/day | Model call tables published per plan |
| Premium Lite | 100/day | Auto-renew monthly; trial rules documented |
| Premium | 400/day | Channel deduction caveats |
| Premium Plus | 1000/day | Highest daily grant |
Dollar stickers are completed in-product on the Pricing Plans page—confirm at checkout; do not invent USD from third parties. Some channels require separate credit purchases per docs.
Agentforce (salesforce.com/agentforce/pricing)
| Model | Public sticker (USD) | Notes |
|---|---|---|
| Foundations | $0 | Builder/prompt starting point |
| Flex Credits | $500 per 100k credits | Actions ≈ 20 credits; Voice ≈ 30 (page) |
| Conversations | $2 per conversation | Customer-facing focus; not combinable with Flex in same org (FAQ) |
| User license add paths | e.g. $5 user/mo Agentforce user license on comparison table | Plus cloud add-ons / Max Edition bundles—AE required |
Unused Flex Credits do not roll across terms (FAQ). Use Digital Wallet alerts before production cutover.
Illustrative stack risk: n8n execution fee + OpenAI keys + Slack enterprise = three bills. Agentforce Flex + Data Cloud + seats can dwarf a “$500/100k” headline. Spreadsheet it.
Pillar 5 — Hosting and data boundary
| Question | n8n | CrewAI | Coze | Agentforce |
|---|---|---|---|---|
| Self-host option? | Yes (Community/Business/Enterprise) | Enterprise VPC/own infra | Primarily SaaS bot cloud | Salesforce cloud |
| Default data region cues | Cloud data in EU (Frankfurt) per FAQ | Contractual | Vendor cloud regions | Salesforce org region |
| Training use of prompts | AI usage controls on plans—verify | Enterprise policies | Check Coze privacy | Salesforce trust docs |
Fail if legal cannot accept egress of the RSS content + customer emails to the chosen host.
Decision guide
| Situation | Lean |
|---|---|
| Flexible automations, optional self-host | n8n |
| Engineer-owned multi-agent crews | CrewAI (+ Enterprise when governance bites) |
| Channel bots (Telegram/Discord-class) | Coze |
| Salesforce-centric service/sales agents | Agentforce |
| Narrow FAQ widget only | Support-chatbot guide—not a full agent platform |
